Custom software vs. off-the-shelf for a service business
Most shops should buy first. Here's the math on what off-the-shelf software costs over three years, the rules for when to build, and what a custom build is actually for.
The short answer
Most service businesses should buy off-the-shelf software first. Housecall Pro publishes plans from $59 to $329 a month and Jobber from $29 to $699 a month (checked October 30, 2026). Build custom only for the gap the software can't cover, like connecting your CRM to your financial data or a workflow only you run.
The decision rules
- Buy if a product already does the job the way you work. Scheduling, estimates, invoicing and payments are solved problems. Don't pay to rebuild them.
- Use what you bought before you add anything. Most platforms include follow-ups, online booking and reports that shops never turn on.
- Build only for a gap between tools. Your CRM can't see your financial data. Your marketing can't be traced to collected revenue. Two systems hold the same customer twice.
- Build for the process that makes you different. If the way you sell or deliver is your edge and no product fits it, that's worth owning.
- Never build to save a monthly fee. Custom software costs more to keep running than most subscriptions. The math below shows why.
What off-the-shelf costs over three years
Here is the published monthly price times 36 months. It assumes today's prices hold, and it leaves out add-ons, extra users and intro promos.
| Plan | Users included | Published monthly price | 36 months |
|---|---|---|---|
| Housecall Pro Basic | 1 | $59 (billed yearly) or $79 (monthly) | $2,124 to $2,844 |
| Housecall Pro Essentials | 5 | $149 (billed yearly) or $189 (monthly) | $5,364 to $6,804 |
| Housecall Pro Max | 8 ($35/mo per extra user) | $299 (billed yearly) or $329 (monthly) | $10,764 to $11,844 |
| Jobber Core | 1 | $29 to $49 | $1,044 to $1,764 |
| Jobber Connect | 1 | $99 to $139 | $3,564 to $5,004 |
| Jobber Grow | 5 | $229 to $299 | $8,244 to $10,764 |
| Jobber Plus | 5 | $399 to $499 | $14,364 to $17,964 |
| ServiceTitan | Priced per technician | Not published | Not published |
Jobber shows three ways to pay (month to month, 1-year commitment, billed yearly), so we give the low and high. Jobber adds users at $29/mo each. ServiceTitan lists every package as 'Request Pricing'.
Now compare a custom build. There's no honest single number for one, because it depends on what you build. But to put it in scale: QuantumCrew's ongoing growth engagements start at $5,000 a month. One year of that is $60,000, which is more than three years of the biggest Housecall Pro plan above. That's why we say buy first.
When someone else is the better buy
- You don't have field service software yet. Buy Housecall Pro, Jobber or ServiceTitan. Don't start with a build.
- You're on one and haven't used half of it. Ask the vendor for an onboarding session before you hire anyone.
- You need one missing feature. Look for an add-on or an app that plugs in. For missed calls, see our AI answering service comparison. For old estimates, see our estimate follow-up guide.
What a custom build is for
A good build doesn't replace the software you bought. It sits on top and connects it. For one plumbing company, we left the CRM in place, pulled its records and the financial data into one owner's dashboard, and built a workspace for open quotes and unpaid invoices. See what we built. Common questions
- Should a service business build custom software?
- Usually not first. Buy a field service platform like Housecall Pro or Jobber, use it fully, and build custom only for the gap it can't cover, like connecting it to your financial data or a workflow that's unique to you.
- What does field service software cost over three years?
- At the prices published October 30, 2026, Housecall Pro runs $2,124 to $11,844 over 36 months depending on plan and billing, and Jobber runs $1,044 to $17,964 for the plans we list. Add-ons, extra users and price changes come on top. ServiceTitan does not publish its software price.
- How much does ServiceTitan cost?
- ServiceTitan doesn't publish software prices. Its pricing page says each package is "Request Pricing" and that pricing is per technician. The one price it does publish is its AI Voice Agent: $2.75 per call.
- When is custom software worth it?
- When the gap is between tools, not inside one. If your CRM can't see your financial data, or your best process doesn't fit any product, a custom layer can be worth it. If a product already does the job the way you work, buy it.
- What are the hidden costs of off-the-shelf software?
- Add-ons with no published price (Housecall Pro lists CSR AI and Pipeline that way), per-user fees ($35 a month per extra user on Housecall Pro Max; $29 a month per added user on Jobber), and the time it takes to switch.
