Unsold estimate follow-up: what it costs, and whether to build or buy
Every shop has a pile of estimates that never got a yes or a no. Here's what it costs to work that pile, the three ways to pay for it, and when you shouldn't pay anyone at all.
The short answer
There are three ways to pay for estimate follow-up: per booked job (Setterly, Cita, Conju), a flat monthly fee (Devobi lists $497/mo), or a custom build. If you're on Jobber's Connect plan or higher, automatic quote follow-ups are already included. Check what you already pay for before you buy anything.
The three ways to pay
| Model | You pay | Good when | Watch out for | What it needs from your CRM |
|---|---|---|---|---|
| Pay per booked job | Only when a job or appointment books (sometimes a small base fee too). | Cash is tight and you want zero risk up front. | The per-job fee is often not published. Get it in writing, and get the definition of "booked." | Read access to open estimates and contact info, plus your calendar if it books for you. |
| Flat monthly fee | The same amount every month. | You have a big backlog of old estimates and want a predictable bill. | You pay whether or not it books anything after the trial ends. | A sync or export of open estimates, contact info, and who agreed to get texts. |
| Custom build | A build and ongoing fee agreed up front. | Open quotes and unpaid invoices are spread across systems no single tool can see. | The highest cost of the three. It needs someone to own it. | API access to your CRM and your financial data, and often your phone and text system. |
Who sells it, and what they publish
| Option | How you pay | Published price | Works with | The right buy when |
|---|---|---|---|---|
| Jobber (built in) | Part of your plan | Included on Connect and higher. Connect for 1 user lists at $99 to $139/mo depending on how you pay. | Jobber | You're already on Jobber Connect or higher. Turn it on first. |
| Housecall Pro Pipeline | Add-on | Not published. | Housecall Pro | You're on Housecall Pro and want follow-up inside it. |
| Devobi | Flat monthly, after a free pilot | $497/mo founding rate (regularly $997/mo), $0 setup. First 14 days free. | Lists syncs with ServiceTitan, Housecall Pro, Jobber, FieldEdge, Service Fusion, HubSpot and Salesforce | You have a stack of dead estimates and want to test for free first. |
| Conju | Base fee + per booked job | Revenue Recovery: $199/mo + a per-booked-job fee + a capped success fee. The per-job amount isn't published. | Not stated on the pages we checked | You want a low base fee and to pay mostly for results. |
| Cita | Commission on closed jobs | Rate not published. "You only pay a small commission on what actually closes." | Reads open estimates from Housecall Pro or GoHighLevel | You're on Housecall Pro or GoHighLevel and want to pay only when work closes. |
| Setterly | Per booked appointment | No dollar figure published. Priced on your average job value; no setup fee or retainer. | A UK service that also serves the US | You want no fixed cost at all and are fine with a UK-based team. |
| Gokazu | Not published | Not published. | ServiceTitan, Housecall Pro, Jobber, FieldEdge, Service Fusion | You want text, email and voice follow-up pulled straight from your software. |
| Custom build (QuantumCrew) | Agreed in the proposal | Ongoing growth engagements start at $5,000/mo, 90-day minimum. Scope and fee are agreed before work begins. | Your CRM and financial data, through their APIs | Your open quotes and unpaid invoices live in different places and you want one place to work them. |

When someone else is the better buy
For most shops, a custom build is not the first move. Buy first if any of these is true:
- Your software already does it. Jobber Connect and up send automatic quote follow-ups. That's the cheapest option on this page.
- You just want to test whether old estimates are worth chasing. Devobi's 14-day free pilot or a pay-per-booked-job vendor costs little to try.
- All your estimates live in one system. A tool that syncs with that system will do the job.
One rule for any option: texting past customers has legal rules. Make sure the tool checks that each person agreed to get texts before it sends one.
When a build makes sense
A build earns its cost when the problem is scattered data, not a missing tool. For one plumbing company, the open quotes sat in the CRM and the money sat somewhere else. We connected both and built a recovery workspace where the team can search open quotes and unpaid invoices, assign them, and log what happened. See what we built (client name and numbers removed).

Common questions
- How much does unsold estimate follow-up software cost?
- It depends on how you pay. Devobi lists a flat $497 a month (a founding rate, regularly $997). Conju lists $199 a month plus a fee per booked job. Cita and Setterly charge only when work closes or books, but don't publish the rate. Prices checked October 30, 2026.
- Does my field service software already follow up on estimates?
- Maybe. Jobber's Connect plan and up include automatic quote follow-ups. Housecall Pro sells a Pipeline add-on for follow-up, but doesn't publish its price. Check what you already pay for before you buy another tool.
- Is pay-per-booked-job follow-up a better deal?
- It's lower risk up front. The catch is that the per-job fee usually isn't published, and the deal depends on how the vendor defines a booked job. Get both in writing before you sign.
- What does a follow-up tool need from my CRM?
- At minimum: your open estimates, the customer's name and contact info, and whether they agreed to get texts. To book jobs on its own, it also needs to see your calendar. Tools that sync with your CRM keep this current; tools that need an export go stale.
- When does a custom build make sense for estimate follow-up?
- When your open quotes and unpaid invoices live in different systems, and no single tool can see all of them. Otherwise, buy a tool. A custom build costs more.
